Colleague-Using XTRNU to Run Unofficial Transcripts

​Prerequisites

  • Staff member must have Colleague Mnemonic XTRNU available through the ST – Student System.
  • Staff member's Staff and Volunteer (SVM) record must include the appropriate office code to assign/change/delete a restriction.
  • ​Navigate to Colleague.
  • Enter Portal username and password and click Sign In.
  • At the top of the screen, choose Navigation > Application > ST.
  • At the upper-left corner of the screen, in the Form Search field, type XTRNU and then click Search.
  • Enter the screen parameters.
    • Trans Grouping – Type a transcript grouping to see a particular level for a student.
    • Type – Select the type from the drop-down menu.
    • Sort Order – Select the sort order from the drop-down menu.
    • Students – Type student's name to select their record from a LookUp screen or student ID.
  • At the top of the screen, click Save All.
  • For Output Device, select a printing option from the drop-down menu.
    • H Hold/Browse File Output – (Recommended) Report can be viewed in browser and can be exported to PDF.
    • P Printer Spooler – Report can be printed directly to any chosen printer. Use this option if printer is setup to print transcripts.
  • Click Save All.
  • Click Save All again.
  • Once the process is complete, click Finish.

For some screens like XTRNU, Colleague retains the values entered from the most recent run. There are a couple of options you can try, if this happens:

  • type another ID over the existing ID
  • click on the number that appears after the Student label and then click the "Delete" option for each ID that appears in the list.
