Colleague-Using XPRRU for Semester Payment Status

Prerequisites

  • To run the process, the user must have Colleague Mnemonic XPRRUavailable through the ST – Student System.
  • To view the data, the user will need to have access to the Institutional Research folder in SQL Reports.
  1. Navigate to Colleague.
  2. Enter Portal username and password and click Sign In.
  3. At the top of the screen, choose Navigation > Application > ST.
  4. At the upper-left corner of the screen, in the Form Search field, type XPRRU and then click Search.
  5. Enter the parameters to be used for calculating balances:
    • Term to process – Type the year and term (current format YYYYTT- prior to Spring 2021, format was YY/TT).
    • Move Students from Pre-Registered to Registered Status –Type Yes or No. Yes indicates the student status will be updated from P to R.
    • Deregister Students –Type Yes or No. Yes indicates the student is able to deregister from their courses, status will be changed from P to X and the student will be rebilled.
    • Percentage to calculate payment – Type the percentage. This represents the minimum payment requirement (percent that is due).
  6. At the top of the screen, click Save All.
  7. The Execute in Background mode? field should be set to N.
  8. Click Save All again.
  9. Once the process is complete, click Finish.

To view report

  1. Navigate to SQL Reports.
  2. Click on the Institutional Research folder.
  3. Click on the Semester Payment Status report.
  4. Select the term from the drop-down menu.
  5. Select the student types from the drop-down menu.
  6. At the upper-right corner of the screen, click View Report.
