Access Public Folders

In Microsoft Outlook 2016

  1. In Outlook 2016, look for the "..." button in the lower-left corner, to the right of Tasks, and choose Folders.
  2. Scroll down to the bottom, and click the arrow to expand Public Folders (username@mail.twu.edu), and navigate to the desired public folder (they are in descending alphabetic order) . If you were given access to a specific subfolder, expand the main folder and find that folder.

In Outlook 365

  1. Look for this icon in the upper-left corner: O365 folder icon
  2. Scroll down to the bottom, and click the arrow to expand Public Folders (username@mail.twu.edu), and navigate to the desired public folder (they are in descending alphabetic order) . If you were given access to a specific subfolder, expand the main folder and find that folder.

In Microsoft Outlook 2011 and 2016 for Mac

  1. In Outlook 2011 or 2016 for Mac, select the Tools tab in the top ribbon, then click on Public Folders.
  2. In the Folder Browser window, navigate through the public folders tree until you locate the desired folder. Highlight the public folder by clicking it one time, then click on the Subscribe button in the upper-left corner of the Folder Browser window. Once you have selected all the folders you need, close the window.
    Note: You will need to individually subscribe to each public folder you need to access.
  3. Return to the Mail view in Outlook. Look for Subscribed Public Folders in the left-hand menu of folders, then expand that by clicking on it to see a list of public folders you are subscribed to.

In the Web App (OWA)

  1. Navigate to OWA
  2. Login with TWU email address and password.
  3. Right-click on Favorites on the left above your name.
  4. Click Add public folder to Favorites.
  5. Search for the public folder in the list. Expand a folder to access subfolders.
  6. Click on the folder.
  7. Click Add to Favorites in the upper left.
  8. Repeat to add additional folders.
  9. When ready, click the x on the upper-right to close.

Note: adding public folders to Favorites through OWA will add the folders to the Favorites the Outlook desktop application.

Follow the steps below to view Public Folder email in Outlook Favorites pane.
Public folders feature auto-reply. This feature can be used for Out of office or other automated responses.

TWU utilizes both Microsoft Exchange and Google Suite for Education for email service.
Microsoft Outlook allows for the creation of email-based “public folders” that can be shared among a group of TWU employees. The shared email service is typically used by departments that need a general email address, by student organizations and clubs to share information, and by workgroups large and small to collaborate with co-workers.
