RingCentral Setting Custom Rules for Out of Office

Use a Custom Rule in RingCentral to manage your availability while you are out of office. Rather than change your business hours, create custom rules for the holidays, vacation, lunch breaks, campus closure, and other planned events. 

  1. Navigate to service.ringcentral.com
  2. Select Single Sign-on, enter TWU email and password
  3. Select Settings
  4. Select Call Handling
  5. Select Custom Rules at the top
  6. Click +Add Rule
  7. Give the rule a name (e.g. Labor Day 2021)
  8. Click Next
  9. Select Date and/or Time
  10. Choose the start and end dates and times using the calendar and arrows
  11. Click Next
  12. Select action to take when incoming calls match this rule:
    • Ring my devices
    • Send to voicemail
    • Play an announcement. (Play a pre-recorded announcement and end the call afterwards)
      • Click Edit
      • Under Set Greeting, click Custom
      • Select Phone, Computer Microphone, or Importing
      • Record or import message, click Done
    • Forward to extension
    • Forward to external number
  13. Choose the greeting that will play
  14. Click Save
  15. Verify that the rule is Active
