Faculty and Staff

Faculty and staff will receive email through Exchange. Exchange is limited to 2.6GB storage. Faculty and staff email  is forwarded to Google. Typically, Exchange mail is managed in the Outlook client and GMail is managed in the GMail client. Exchange attachment limits are 50 mb. GMail attachment limits are 25 mb.

Students

Students will receive email through Google. GMail attachment limits are 25 mb. Student Assistants are eligible for Exchange mailbox use if required for their job duties. This is required for student assistants to work with departmental Outlook calendars.

Alumni

Alumni may choose to sign up for Google Alumni email. TWU Alumni Mail will have a 5 GB storage limit. TWU Alumni Mail is a free Google account offered to TWU alumni. Storage in this account is shared across Gmail, Google Drive, and Google Photos.

Getting started

For faculty, staff, and students, email addresses are created after a Portal account is created. A user’s TWU email address will be their username@twu.edu  - regardless of which service is used for email. Newly created Pioneer Portal accounts require approximately 4 hours for email  accounts to create. Initial log on for GMail must be on a desktop or laptop; subsequent log ons may occur on any internet-connected device (e.g., mobile phones, tablets). 

Access TWU email (webmail link) or exchange directly or gmail directly.

TWU Alumni Mail is an "e-mail for life" product offered to graduates of Texas Woman’s University. TWU Alumni Mail is powered by Google and offers each user a customizable @alumni.twu.edu e-mail address showcasing their alumni status. Users can set up an Alumni Mail Account by clicking here. Once they have set up an Alumni Mail Account, they can sign in to the account here.

GMail Best Practices

  • Check Spam folder.
  • Turn off conversation view in Chrome: Settings > Conversation View Off
  • Use the Chrome browser. Log out of the Chrome browser on shared computers.
  • Chrome is already installed in all computer labs. If users would like to use Chrome on their desktop, please contact the Service Desk.
  • Go Mobile! Google works great on its mobile applications.

Steps to forward TWU email to another address
This process only works for email in the user's Exchange inbox (not for subfolders or archive folders).
While away from the office for a day or more (vacation, conference, illness, etc), it is advisable to use Outlook's Out of Office Assistant to set automatic replies during that period.
Public folders feature auto-reply. This feature can be used for Out of office or other automated responses.
Create a mail archive on a computer, a connected hard drive, or a mapped network drive to store email and especially mail with audio and/or video attachments.
To send an email to multiple recipients without them seeing who else received the email, place all of the addresses into the BCC address field of the email. Use the BCC option (blind carbon copy) in the message to add all recipients, leaving the TO field and the CC fields empty.
