IT Solutions assists in evaluating needs and ensuring the technology requested will fulfill those needs. Prior to purchasing any technology items (hardware or software), IT Solutions is available for consultation to ensure that the purchase or existing quote is compatible with the University’s current technical infrastructure. IT Solutions will evaluate current and future needs in order to develop an overall strategy that will meet both the department’s and the University’s goals. Working closely with contracted vendors and available University resources, IT Solutions will ensure the overall solution is the best value while maintaining standards of performance and quality.

Pre-Approved Technology Purchases

IT Solutions and TWU Procurement have identified certain common technology purchases which may be purchased outside of the quote process with a TWU purchase card, following their guidelines. Those items include

  • Webcams
  • Keyboards (wireless or wired) (we recommend Microsoft, Logitech, or Apple brands)
  • Mice (wireless or wired) (we recommend Microsoft, Logitech, or Apple brands)
  • Battery Backups (APC’s or UPS devices)
  • External harddrives and/or Flashdrives (thumbdrives)
  • USB hubs
  • Most PC cables and adapters (although ITS can help isolate what kind is needed if unsure)
  • Headsets
  • Microphones
  • Speakers
  • iPad/Surface Pro/Tablet covers and cases
  • iPad/Surface Pro/Tablet keyboards and accessories
  • Screen/privacy protectors for monitors or tablets
  • Memory cards and/or readers
  • Cameras and Camcorders that are under $500
  • Projectors that are under $500
  • Ergo-Arms (put in a ticket for help with installation)

Purchasing Technology – Request a Quote

  1. Use this form to request a quote.
  2. The request will be evaluated in accordance with the Technology Governance policy. If the request requires integration or access to TWU systems, a project request will be submitted and will be evaluated by IT Solutions. Depending on the scope of the project, the project request and governance processes may take several weeks. IT Solutions will keep requestors updated on the process as the request moves through governance stages.
  3. Technology will undergo a risk assessment and verify the TX Ramp status, as required by the State of Texas. After information is verified, a  request for quote will be sent to the vendor(s).
  4. If the technology does not require integration, the quote and risk assessment will be delivered to the requestor after the risk assessment step. If a project request was submitted, the project is either approved or denied at the end of the governance process. After project approval, the quote and risk assessment are delivered to the requestor.
  5. After receiving the quote, follow the Purchasing Guidelines established by TWU Procurement.
  6. If applicable, item(s) will be shipped to TWU’s Facilities Management Resource Planning and Assets Department and will be tagged and placed into the University’s and the State of Texas' inventory systems.
  7. Facilities Management Resource Planning and Assets Department will contact the user or department.
  8. Submit a ticket through the Technology Service Desk (ServiceCenter.TWU.edu) to request set-up, configuration, and/or installation of software. If integration is required, project tasks will be scheduled in accordance with project scope.

Technology Already Purchased - Request Integration, Software Implementation, Access to Systems

  1. Contact the Technology Service Desk 940-898-3971servicedesk@twu.edu, techchat.twu.edu, submit a request through the Technology Service Catalog, or submit a request by clicking Request Service on this page. Please attach or provide available technology integration documentation.
  2. A project request will be submitted and will be evaluated by IT Solutions. The request will be evaluated in accordance with the Technology Governance policy. Cost

Typically, the department or component is responsible for all purchasing costs once the quote is obtained and the bid approved.
