Turning on Multi-Factor-Authentication (MFA) in Microsoft

Texas Woman’s University is strengthening its security posture by enabling multi-factor authentication (MFA) (also referred to as two-factor authentication (2FA) or two-step verification) for specific systems across the University. MFA adds an extra layer of protection when accessing accounts and requires users to enter more information than just a password. For example, along with the password, users might be asked to enter a code sent via voice or text message or tap a verification prompt via a secure app on their phone.

A phased approach is being used so that groups can easily manage their enrollment into the MFA program. We use a variety of applications for multifactor authentication. Two of the most common being Google 2-step and Microsoft 365 MFA.

Enable Microsoft 365 MFA

TWU recommends setting up Microsoft 365 MFA using one of the following options:

  • Microsoft Authenticator app
  • Text (SMS) message
  • Phone call

Note: You may choose a default and an additional option.

To set up Microsoft 365 MFA for your account, please follow the steps detailed in this “Set up your Microsoft 365 sign-in for multi-factor authentication” help article.

Why do I see an Account Error message like this?

Enrolling in Microsoft 365 MFA turns on MFA for your entire TWU Microsoft 365 account. When you log into Microsoft 365 using your TWU Portal credentials, you will be asked for your second factor. This includes checking Teams or accessing other applications in Microsoft 365.

When can I pre-enroll?

You can enroll today! To pre-enroll your Microsoft account prior to August 8, 2024, please go to link: https://aka.ms/MFASetup and follow the steps in the Turning on Multi-Factor-Authentication (MFA) in Microsoft knowledge base article.

 

When is the deadline to pre-enroll?

You can pre-enroll in Microsoft 365 MFA before August 8, 2024. 

 

Who has to enroll?

On August 8, 2024, two-factor authentication will be required and turned on for all faculty, staff and students that access Microsoft 365. 

 

What happens if I don’t pre-enroll by the deadline?

On August 8, 2024, you’ll be prompted to setup MFA for Microsoft 365. See Turning on Multi-Factor-Authentication (MFA) in Microsoft

 

Do I have options other than the Microsoft Authenticator app?
You can click I want to set up a different method and enroll your phone to receive a text message or a call. It’s recommended that you use your personal number for Microsoft 365 MFA.

What can I expect after I enroll?

Enrolling in Microsoft 365 MFA turns on MFA for your entire TWU Microsoft 365 account. After you pre-enroll or starting August 8, 2024, when you log into Microsoft 365 using your TWU Portal credentials, you will be asked for your second factor authentication. Microsoft 355 includes Teams, Office 365, and other Microsoft cloud-based applications. 

 

If I already turned on Microsoft two-factor verification, do I have to do it again?

If you have already enrolled in Microsoft two-factor  with your TWU email account, no further action is required.
