Access Request

What is an Access Request?

An access request is how departments notify ID Services that an individual needs physical access to a building, room, or secured space on campus. This includes new employees who need access to their work areas, students who need access to labs or department spaces, and contractors who require temporary access to perform work on campus. Access is managed through ID Services and is tied to an individual's TWU ID.

Who Can Submit Requests

Requests must come from someone other than the individual needing access, typically a department administrator. 

Requesting Access for an Individual

Individual access requests are used when adding a single person to a space or updating an existing patron's access. This is the most common request type for new employees. To submit, you will need the individual's full name, TWU ID, their role in the department, and an expiration date if this person is a student, student worker or contractor. If the individual requires access to multiple buildings, a separate ticket must be submitted for each building. ID Services will follow up if any clarification is needed.

Requesting Access for a Group of Individuals

Group access requests are used when adding multiple individuals to a space, and are the most common request type for students. Access is granted through Patron Groups, which are organized by role and assigned a group number and name, if you are unsure of your group number or name, contact Ryder Owens at aowens9@twu.edu for assistance. To submit, download the provided spreadsheet template, fill it out with each individual's full name, TWU ID, and assigned group number, and attach it to the request. If submitting multiple groups, duplicate the original tab for each additional group (right-click the tab at the bottom of the spreadsheet and select "Move or Copy," check the "Create a copy" box, and fill in the new tab with the next group's information). A separate ticket must be submitted for each building. ID Services will follow up if any clarification is needed.

Requesting Access for a Contractor

Contractor access requests are used when adding an individual contractor or group of contractors to a space. A background check verification must be on file before access will be granted, and all verifications must be on company letterhead. Requests should be submitted with ample lead time, as new contractors must be added to the access control system before visiting ID Services to have their photo taken and pick up their badge.
