Colleague Access and User Guide

Summary

Access graduate student enrollment and registration data efficiently.

Body

Colleague is used to access academic records. 

Access Requirements

  1. Request a Colleague account
    •  Log in to the Pioneer Portal
    •  Enter First and Last name
    •  Click Create Account
  2. FERPA training: Complete FERPA training via self-enrollment in Bridge
  3. VPN Connection: May be required for off-campus access

Logging In 

  1. Navigate to Colleague
  2. Log in using your TWU credentials

Navigating the System

Search Students

  1. Use student ID (preferred) or student name.
  2. Select a mnemonic (code) for the type of information you want (See Commonly Used Mnemonic Knowledge Base Article] for meanings of each code.)
  3. Click OK and double-click the student record
  4. If a student has multiple programs, the oldest program appears at the top-select the program you want to view

Viewing and Managing Records

  • You can view student details, academic history, progress, and advisor assignments
  • Students' official transcripts are only accessible by the Registrar
  • Letters or departmental submissions from students are managed via OnBase
  • You cannot make changes to student records; Colleague is view-only

Best Practices

  • Only view students assigned to your department/program.
  • Do not share Social Security numbers or sensitive student information
  • Maintain FERPA confidentiality

  • Access is protected and should be used responsibly.
