Add Assignment

1. Navigate to My Client Groups > Employment Info:

2. Use the employee's name, person number, or assignment number to locate their record:

3. Click on the assignment, then select the three dots menu "..." to choose the appropriate action:

4. Turn on all available toggles until you are more familiar with what each one controls:

4. Enter assignment information for the following fields: 

  • When does the assignment date start? Select the date. 
  • Select Permanent (Never Use Temporary). Permanent. 
  • What's the way to add the assignment? Add assignment. 
  • Why are you adding the assignment? Select the most appropriate option. 
  • Business Unit. Texas Woman's University BU. 
  • Position. Enter the position code from the official position report.

5. Complete the position override section: 

  • Assignment. Shows the Current Position. 
  • Position. Automatically populates based on the Position Code; updates the assignment details accordingly.

6. Review and update assignment details for the position. We have highlighted the fields that must be reviewed or edited in the sample picture below: 

  • Assignment Status 
  • Person Type
  • Primary Assignment. Select yes or no. 
  • Grant Assignment. If yes, it goes to the grant approver.  
  • Regular or temporary. If regular, it goes to budgetary approver. 
  • Full-time or part-time
  • Working hours. Weekly, affects the FTE. 
  • Pay Class. Based on the position type. 
  • Appointment Start and Appointment End. These fields are for hourly ONLY. 
  • Optional fields that may be useful: 
    • Course Information 
    • Assignment Information 
    • Comments

7. Select the pencil icon next to the manager field to change the manager, if needed:

8. Save your progress by selecting the save button at the bottom:

9. This step is crucial and is oftentimes missed: enter payroll details and add payroll frequency.

10. Add the salary basis and the salary amount:

11. Complete the compensation section, if applicable:

12. Add any direct reports to the employee, if applicable:

14. Submit the assignment once you have completed all required fields and have verified the information you have entered is correct. The add assignment process is now completed.
