What are the processes and instructions for hiring out-of-state workers?

At Texas Woman's University, we understand the changing needs of our workforce and recognize that departments and supervisors may need to occasionally hire and retain employees who will live and work within the United States, but outside of Texas. However, there are some important criteria that must be met to ensure that TWU stays in compliance with university policy and the law. The complexities and costs of complying with state and local laws as well as tax requirements are increasing; therefore, we have outlined the institutional guidelines that must be met to remain compliant and allow for continued out-of-state work arrangements. 

Prior to hiring any out-of-state employees, you must first contact and notify both TWU HR Payroll and TWU HR Accounting & Reporting at least six (6) weeks prior to the effective start date of the employee. The same requirements apply to any current employee looking to relocate and work remotely outside of the state of Texas. 

Additionally, hiring departments and/or supervisors will be required to provide the following information to both offices to initiate the out-of-state working arrangement: 

For Faculty, Adjunct Teaching, and Staff Employees:

  1. Full legal first and last name of employee
  2. The job title and position details 
  3. The physical address (home address) that the employee would be working remotely from 
  4. The effective start date of the employee 

Specific to Faculty/Adjunct Teaching Employees:

  1. Receive approval from the Vice Provost of Faculty Success
  2. Written approval submitted to HR Accounting & Reporting with the initial request

The six (6) week waiting period begins once all required documentation has been received. 

Please note: We are unable to provide remote, out-of-state working arrangements for student assistants, graduate workers, or summer temporary assignments at this time.
