A Job Analysis Questionnaire (JAQ) is used to create a new position or to reclassify an existing position into a new one. Positions go through this process to verify the budgeting for the position and to ensure that it is classified correctly.
Step 1. Log into Oracle Cloud using Single Sign-On (SSO).

Step 2. Select the Home button on the top right corner of the screen.

Step 3. Navigate to TWU HR Extension > TWU Job Analysis.

Step 4. Select Create to begin a job requisition.

Step 5. In Section 1, provide the Division Name, Department Name, and the Supervisor of the position. If you are reclassifying an existing position and are not creating a brand new position, select For Reclassifications Only and provide the Position Code, the position’s Current Salary, the current FTE, and who the Current Employee is. If the position is currently vacant, you can leave Current Employee blank.

Step 6. In Section 2, provide the position’s Proposed Title, Salary, and FTE.

Step 7. Still in Section 2, enter the funding string by selecting the Fund Class, Fund Source, Department, Function, and Project. Provide the Explanation of Funding and Split % for each completed funding string. Multiple funding strings can be entered, but the total Split % must add up to 100%.


Step 8. In Section 3, provide a justification as to why this position needs to be created or reclassified and how operations or services would be affected if the position was not made or reclassified.

Step 9. In Section 4, summarize the function of this position. Basically, provide an overview of the position by explaining the main goals of the position and how it helps TWU.

Step 10. In Section 5, provide the job duties of the position and any additional duties that might be required. These are the job duties that will be found on the position’s job description. Bullet points can be used to help break down the information.

Step 11. In Section 6, select whether this position will be supervising full/part-time employees, student/temporary workers, or if there are no supervisory responsibilities. If there are no supervisory responsibilities, then Number of Employees Supervised and Level of employees supervised does not need to be provided.

Step 12. Still in Section 6, select the position’s Scope of Influence, Problem-Solving Capacity, Communication & Collaboration, and Independence of Action. Multiple options can be selected for Communication & Collaboration.

Step 13. Still in Section 6, select the level of education needed for the position and specify if a certain degree or degrees are needed. If experience can be substituted for education, specify why. If any certifications, licenses, or credentials are needed for the position, select the button and specify what is needed in the related field.

Step 14. Finally in Section 6, select the minimum level of general work experience and supervisory experience needed for the position.

Step 15. In Section 7, indicate the level and frequency of physical and environmental demands the position requires. If it is a standard office position, you can select the Standard Office Position button and leave the rest blank.

Step 16. Still in Section 7, specify the environment that the position will be working in and provide any additional context. Multiple options can be selected here.

Step 17. In Section 8, provide all the Knowledge, Skills, and Abilities needed to perform this position effectively. Each bullet point should start with the word Knowledge, Skill, or Ability.

Step 18. In Section 9, provide the job title of the person that this position will report to and the job titles of the employees that will report to this position.

Step 19. In Section 10, if you have a draft job description, you can attach it here. If you have any additional notes, you can provide them here. Once you are ready to submit the JAQ, change the Status from Draft In Progress to Ready For Approval then select Create at the very bottom right of the page. If you are not ready to submit, you can leave the status as Draft In Progress and select Create to save the JAQ as a draft.

Step 20. Once submitted, the JAQ will go through different approvals depending on the position’s department. Section 10.1 and Job Analysis Approval are completed by the budget office and the compensation team once the approvals reach them. Once the JAQ is completely approved, the compensation team will create or reclassify the position and provide the submitter the position details.
