Accessing Student Records in Colleague with Mnemonics

Learn how to quickly navigate Colleague using mnemonics to check application status, program, transcripts, holds, test scores, and more. (See Commonly Used Mnemonic Knowledge Base Article] for meanings of each code.)

Accessing Student Records:

  1. Open Quick Access and type the mnemonic (e.g., APPN, SACP, IASU).
  2. Enter student identifier (Student ID, Name, or last 4 digits of SSN).
  3. If continuing with the same student, use Shift + 2 → Enter.
  4. For multiple matches, select the correct student from the list.

Viewing Status or Details:

  1. Click the blue box next to items to view details.
  2. Use arrow keys or navigation boxes to scroll through information.

Common Tasks:

  • Application Status (APPN): View application codes, term, program, and previous status.
  • Current Program (SACP): Identify active, changed, or graduated programs.
  • Transcripts (IASU): Check received and outstanding transcripts.
  • Holds (XERC/PERC): Identify account holds and details.
  • Test Scores (TSUM): Scroll to GRE, GMAT, TOEFL, etc.
  • Personal Info (NAE): View address, phone, and email.
  • Enrollment (STAC): Check current semester enrollment.
  • Unofficial Transcripts (XTRNU): View/print transcripts by degree type.
  • Academic Standing (SACS): Check last term’s standing.
  • Degree Audit (EVAL): View program, track, substitutions, and catalog year.

Privacy Note:

Do not ask students for their full SSN. Last four digits may be requested for identity verification.

Tips:

  • Use the same student shortcut (Shift + 2 → Enter) to save time.
