Grad School - Administering the Grad Form Workflow Access Groups

  1. Log into Unity Client
    1. Double click the Unity Client icon on the computer desktop
    2. If the option exists, select production
    3. Enter your portal Username & Password 
  2. When the Unity Client opens, on the Home ribbon, select Forms
  3. Under Graduate School, click Administration for Grad Form Groups 
    1. ​​​​​​​*If you do not have permissions to view this item and believe you should have permissions to do so, please contact the service desk by calling (940) 898-3971 or by logging into servicecenter.twu.edu and clicking Submit a Ticket
  4. Under Select a Group, select the group that needs to have it's members updated. 
  5. Once the group is selected, The members of the group will populate, by username, under the Group Members heading.
    1. Remove a User
      1. Click Remove next to the users name
      2. Click Save Group Changes
    2. Add a User
      1. Click Add next to the Group Members heading
      2. This will add a blank UserName box. Type the users USERNAME useing ALL CAPS
      3. Click Save Group Changes
        1. ​​​​​​​Alerts, if you receive the following alert: The following users are not in the appropriate groups: <USERNAME>
        2. This means that the user is either not in the OnBaseGradFormUsers AD group, or
          1. To add the user to the appropriate AD Group, please contact the service desk by calling (940) 898-3971 or by logging into servicecenter.twu.edu and clicking Submit a Ticket
          2. Remove the offending user from the group and click Save Group Changes to save other changes made
        3. The user has not yet logged into OnBase to sync permissions with AD
          1. Remove the offending user from the group and click Save Group Changes to save other changes made
          2. Contact user and have them initially log into OnBase. Once user has logged in once, the permission groups will by correctly syncd and they're username can now be added to the Grad Form Access Groups using step 5.2 in this process.
  6. Ensure that at the end of any additions or removals, prior to selecting a different Group under Select a Group, the Save Group Changes​​​​​​​ has been clicked.
