Colleague-Using XCDR to End Student Restrictions

Prerequisites

  • Staff member must have Colleague Mnemonic XCDR available through the ST – Student System.
  • Staff member's Staff and Volunteer (SVM) record must include the appropriate office code to assign/change/delete a restriction.
  1. Navigate to Colleague.
  2. Enter Portal username and password and click Sign In.
  3. At the top of the screen, choose Navigation > Application > ST.
  4. At the upper-left corner of the screen, in the Form Search field, type XCDR and then click Search.
  5. Select action C Change from the drop-down menu.
  6. Enter the restriction information.
    • Restrictions – Type the restriction. If unsure of which restriction to assign, type the ellipses […] to do a Restriction LookUp. Access to restrictions are only available by office code(s).
    • Severity – Type the severity. If left blank, the severity level will be blank on PERC.
    • End Date – Click the icon to enter the date the restriction will end. Note: If the restriction ends today, the end date entered must be yesterday's date.
    • Comments – Type any comments. This field is optional and can be left blank. This comment will appear on the student's record on PERC.
  7. Enter the student(s) and any existing restriction dates:
    • A Saved List Name or individual students may be entered. The individual students' IDs can be entered using Person LookUp, manually entered, or a copy-and-paste method.
  8. Enter the Existing Restriction Dates start date.
    • Warning: If no Existing Restriction Dates start date is entered, the end date for all of the same restrictions will have the same end date entered here on the XCDR screen. In addition, you must enter at least one student ID or a savedlist or else this process will end the restriction to every student in Colleague that has this restriction.
  9. At the top of the screen, click Save All.
  10. A dialog box will appear, click Update.
  11. Click Save All again.
  12. Another dialog box will appear, click Update.
  13. Once the process is complete, click Finish.

Note

  • To use the copy-and-paste method, copy the group of IDs from any source, including Microsoft Excel. Then, paste a group of individuals' IDs or SSNs into the Students box then click the icon next to it. Right-click and select Paste to paste the IDs or SSNs into the text box in a vertical row (the maximum number of students for this field is 200).
