Overview

Planning an event, meeting, or presentation? ITS Houston provides comprehensive audio/visual (A/V) and technology support to ensure your event runs smoothly. From room setup and equipment coordination to live technical assistance, we help create seamless experiences for attendees, presenters, and organizers. This form is for all non-class related events on the Houston campus (for example Research Night, White Coat Ceremonies, Open Houses, Colloquiums or external events or conferences)


Who Should Use This Service?

  • Faculty, staff, or departments hosting events, non-class related lectures, or meetings.

  • Academic Departments, campus organizations or external groups requiring technology setup for events.

  • Individuals or teams needing support for hybrid or virtual events.


What We Provide

  • Audio/Visual Equipment Setup: Microphones, speakers, projectors, screens, and monitors

  • Computer & Presentation Support: Laptop connections, video playback, presentation setup, and troubleshooting

  • Network & Connectivity Assistance: Wired and wireless connections, video conferencing setup. (Non-zoom live streams must be requested via TWU Media Services)

  • Live Event Technical Support: On-site staff to monitor and resolve any technical issues during your event

  • Hybrid & Virtual Event Assistance: Support for Zoom, Teams, or other video conferencing platforms including camera and microphone configuration

  • Optional Consultation: Meet with an ITS team member in order to set expectations and confirm details for high attendance or exclusive events


How to Request Event Support

Click Request Service to the right and complete the form with:

  • Event date, time, and location

  • Expected number of attendees

  • Equipment or technology needs (microphones, projectors, monitors, etc.)

  • Special requirements (live streaming, hybrid participation, recording)

Our team will review your request and confirm setup details to ensure your event is fully supported.


Important Notes

  • Submit requests at least 5 business days in advance to allow proper scheduling and equipment preparation

  • For large events or specialized technology needs, earlier submission is strongly recommended.

  • ITS will follow up to clarify requirements or provide additional guidance for your event setup.
