Purpose
When supervisors are out of the office, approval tasks should be delegated in Oracle Cloud to ensure employee timecards, absences, and other pending items continue to be reviewed by the required deadlines.
Delays in approval may result in delayed employee payment.
When to Delegate Approvals
Supervisors should set up delegation any time they will be unavailable to review and approve Oracle Cloud notifications, including:
- Vacation
- Sick leave
- Conferences or travel
- Extended leave
- Any period during which they will not be checking Oracle Cloud or emails regularly
Important Notes:
- Delegation should be set up before the supervisor is out of the office.
- Delegation only applies to the date range selected.
- Supervisors are responsible for ensuring the person selected as their delegate is appropriate and available to review approvals during their absence.
Steps to Delegate Approval Tasks
- Log in to Oracle Cloud
- Navigate to the home page and go to Me > Roles and DelegationsScroll down

- Scroll down to the “Approval Delegation” section
- Click the plus sign (+) to add a new delegation rule.

5. Complete the following fields
Rule Name
Enter a recognizable name for the delegation rule:
- Vacation approvals
- Out of office approval backup
Category
Select the approval category you would like to delegate.
NOTE: You may create multiple rules if you would like to delegate more than one approval category.
Start & End Dates
Enter the exact dates and times you will be away from the office.
Delegate to
Search for and select your designated backup approver.
6. Click Save.

After returning to the office
Once you return, confirm that the delegation period has ended. If your return date changes, update or cancel the delegation rule as needed.
Reminder:
- Supervisors should not rely on out-of-office email replies to manage pending approvals.
- Oracle Cloud approvals must be delegated in advance to help prevent missed deadlines and delayed payments.
