Background

As the Person and Person Management areas in Oracle Cloud disclose employee's confidential PII, we need to restrict and that level of access on behalf of HR.  Fortunately, for the Budget Office to perform their job duties, what they need is the ability to see an employee's employment details (i.e. work relationship and assignments) and nothing to do with their actual confidential PII. 

The Budget Office and IT has reviewed the the navigation and pages needed.  These pages are related to the Budget Office process of adding costing to budgeted and non-budgeted positions (i.e. assignment-level costing), as well as needing to see the correct assignment start date for an employee so that payroll also runs correctly. These costing pages can be access directly through Quick Actions, while avoiding the Person and Person Management areas altogether.

Process

These quick actions can be accessed through the series of screen shots below. We have confirmed in our testing that Budget Office personnel are able to access these pages and relevant employee and position records in the TEST environment. As our next steps, we will work to ensure that the Budget Office Designated Employees have access to these quick actions and able to access employee and position records as well. Specifically, we will be looking at the following Quick Actions under My Client Groups, with the scope of access defined as all person/employees and their assignments, and all position definitions.

To confirm that you could add costing to a budgeted position, we were able to successfully add 100% costing (111.44550.10606.600) to position code 402326.

Likewise, we were able to review and update existing costing already applied to a position (1545144).

Through the Non-Budget Costing quick action, we were was able to pull up the assignment level costing for multiple individuals, (25257 Myrdell Celissaint, 24397 Mary Anderson, and 30375 Fernandez-Montenegro Serrano).   Also, as we experienced yesterday, just a reminder about needing to type at a slower pace into that search bar so that the user interface has time to "catch" up as it tries to show results dynamically as you type.
