Turning on Multi-Factor-Authentication (MFA) in Google

Texas Woman’s University is strengthening its security posture by enabling multi-factor authentication (MFA) (also referred to as two-factor authentication (2FA) or two-step verification) for specific systems across the University. MFA adds an extra layer of protection when accessing accounts and requires users to enter more information than just a password. For example, alongside the password, users might be asked to enter a code sent via voice or text message or tap a verification prompt via a secure app on their phone.

A phased approach is being used so that groups can easily manage their enrollment into the MFA program. We use a variety of applications for multifactor authentication. One of the most common is Google 2-step.
 

Steps to Enable Google MFA

Step 1: Sign in to Your TWU Google Account

Go to: https://myaccount.google.com

Sign in using your TWU email address and password.

Step 2: Open Security Settings

After signing in:

  1. Click Security & Sign-In on the left side menu
  2. Scroll down to the section labeled How you sign in to Google
  3. Click 2-Step Verification

Step 3: Start Setup

  1. Click Get Started
  2. Enter your TWU password again if prompted

Step 4: Choose Your Verification Method

Option 1: Google Prompt (Recommended)
Google prompt sends a notification to a device where you're already signed in to your TWU Google account.

  • Select Google prompt.
  • Choose your smartphone or tablet.
  • Follow the prompts to verify the device.
  • Approve the test notification when prompted.

Note: Google Prompt requires you to already be signed into your TWU Google account on a smartphone through a Google app. Example: Gmail, Google Drive, Youtube, Google Photos, etc. If you are not already signed in to your TWU Google account on a mobile device, you can skip this option and add another verification method instead.

Option 2: Authenticator
An authenticator app generates one-time verification codes.

  • Select Authenticator.
  • Set up Authenticator.
  • Follow the prompts to scan the QR code with the Google Authenticator app.

Option 3: Phone Number
Use your mobile phone as a backup verification method.

  • Select Phone number.
  • Enter your phone number if it is not already listed.
  • Choose to receive codes by Text message (SMS).
  • Enter the verification code you received.

Option 4: Backup Codes 
Backup codes allow you to sign in if you lose access to your other verification methods.

  • Select Backup codes.
  • Generate your set of backup codes if you have not already done so.
  • Save or print the codes and store them in a secure location. Each code can be used once.

Step 5: Turn On 2-Step Verification

After completing setup:

  1. Click Turn On

Google MFA is now enabled for your TWU Google account.

What Happens Next?

After Google 2-Step Verification is enabled, multi-factor authentication will apply to your entire TWU Google account.  When signing into Google services using your TWU Portal credentials, you will be prompted to complete a second verification step. This applies to Gmail and other Google Workspace applications, such as Google Drive, Docs, Sheets, and Calendar.

  • Try selecting another verification method
  • Verify your recovery phone number is correct
