Instructions for Employees and Supervisors to Access and Enter Goals in SharePoint

EMPLOYEES

  • SharePoint instructions are identical for Classified and Professional & Administrative staff.
  • The Professional & Administrative staff format will be used below for instructional purposes.
  • Access Performance Development Goals here: Access to Goals in SharePoint
  • Follow the steps below:

     Step 1: Review the TWU Performance Development Home Page for Employees

  • Please review the information on the home page for important instructions regarding the process of entering your Performance Development Goals.
  • Please click on the edit icon under the “My Goals” section to access and enter your Performance Development Goals.  Be sure to click on 2019/2020 goals; however your 2018/2019 goals are available for your review.   

Step 2: Enter you Performance Development Goals

  • Enter your Performance Development Goals. There are 2 sections with a total of 5 questions for the Professional & Administrative staff and 1 section with a total of 3 questions for the Classified staff.

     Step 3: Add Attachments (Optional)

  • Employees may add attachments (optional) by clicking on the green plus sign  to add an attachment. Multiple attachments may be added.
  • After clicking on the green plus sign, click on “Choose File” to add the attachment.
  • Ensure the document has been attached.

      Step 4: Saving and Send to Email Options

  • Employees have the option to:
  • Click on “Save My Progress” if you want to enter the remaining information at a later time.
  • Click “Cancel” if you want to start over.
  • Click on “Save and Submit” to complete your Performance Development Goals
  • Click on “Send to Email” to email the Performance Development Goals to your inbox

      Step 5: Employee Receives Email Notification Confirming that Goals are Submitted

  • The employee will receive an email notification confirming that Performance Development Goals have been submitted and are now available for review and response by the supervisor.

       Step 6: Employee Receives Final Email Notification after Supervisor Completes Final Goals

  • The employee will receive a final email notification confirming that Performance Development Goals have been completed by the supervisor.

   Editing Goals:

  • Depending on circumstances, employees and supervisors may decide they want to edit employee goals throughout the year.
  • Click on the original link to access the SharePoint System: Access to Goals in SharePoint
  • Follow steps 1-4 in the Employee Section above.
  • The employee and supervisor will receive automatic emails after editing goals.

   Informal Meetings:

  • Informal meetings are an opportunity for supervisors and employees to hold private one-on-one meetings throughout the review period to share feedback and ensure performance continues to remain on track with required job duties and agreed upon goals and expectations. Please refer to Informal Meetings Guide for Employees for tips on informal meetings.

SUPERVISORS

   Instructions for Supervisors to Access and Enter Goals in SharePoint:

     Step 1: Supervisors Receive Email Notification that Goals have been entered by the Employee

  • An automatic email is generated after the employee enters goals. Open the automatic email and click on the link to access Performance Development Goals on SharePoint.
  • This takes you to the Supervisor’s home page.
  • You can always access the Supervisor here: Access to Goals in SharePoint

     Step 2: Review the Supervisor's Home Page

  • Please review the information on the Supervisor’s home page for important instructions regarding the process of finalizing an employee’s Performance Development Goals.
  • Please click on the edit icon under the “My Employees” Goals” section to access and enter the employee’s Performance Development Goals. All employees reporting to you (as designated in Oracle) will only appear once they have entered their goals.  Be sure to choose the employee’s goals for 2019/2020. Prior year’s goals (2018/2019) are available for your review.
  • Use the sort function to hide or sort 2016, 2017, 2018/2019 goals.

    Step 3: Review the Performance Development Goals entered by the Employee

  • Review the Performance Development Goals entered by the employee to ensure they reflect the mutually agreed upon goals you developed with the employee.
  • Review any additional information provided by the employee, including attachments that may be helpful as you develop the final goals.

    Step 4: You have the Option to Reject the Goals

    Step 5: Enter the Employee's Final Performance Development Goals

  • Enter the employee’s final Performance Development Goals. There are 2 questions for supervisors of Classified staff and 3 questions for supervisors of Professional & Administrative staff.

    Step 6: Add Attachments (Optional)

  • Supervisors may add attachments (optional) by clicking on the green plus sign to add an attachment. Multiple attachments may be added.
  • After clicking on the green plus sign,  click on “Choose File” to add the attachment.
  • Ensure the document has been attached.

     Step 7: Saving the Employee's Final Goals

  •  Supervisors have the option to:
  • Click on “Save My Progress” if you want to enter the remaining information at a later time.
  • Click “Cancel” if you want to start over.
  • Click on “Approve Goals” to complete and save the employee’s final Performance Development goals.
  • You may choose to have the goals sent to your Inbox.  Click on “Send to Email” to accomplish this.

    Step 8: Employee and Supervisor Receive Final Email Notification

  • The employee will receive a final email notification confirming that Performance Development Goals have been completed by the supervisor.
  • You will receive a final email notification confirming that the Performance Development Goals have been completed.

     Note to Supervisors: Access the Supervisor Screen anytime from your Own Employee Screen

  • Access Performance Development Goals by clicking on the link: Access to Goals in SharePoint
  • Click on the Supervisor button
  • Click on the edit icon under the “My Employees’ Goals” section to access employee goals. You will access edit the 2018/2019 goals. 2017 goals are available for your review
  • Important Goals: 2019/2020 Employee will only appear ONCE THEY HAVE BEEN ENTERED BY THE EMPLOYEE.

   Editing Goals:

  • Depending on circumstances, employees and supervisors may decide they want to edit employee goals throughout the year.
  • Employees should click on the original link to access the SharePoint System: Access to Goals in SharePoint
  • Follow steps 1-4 in the Employee Section above.

       Informal Meetings:

  • Informal meetings are an opportunity for supervisors and employees to hold private one-on-one meetings to share feedback and ensure performance continues to remain on track with required job duties and agreed upon goals and expectations. Please refer to Informal Meetings Guide for Supervisors for tips to conduct informal meetings.
  • Supervisors should keep a summary of the discussion points along with any action items following informal meetings. Summaries may be stored on your X drive, added as an attachment in the SharePoint System or you may choose to log information in the Supervisor Notes (viewable only to supervisors) section on the employee’s goals form page.

    Supervisor Notes:

  • The Supervisor Notes is viewable only to supervisors and is one option for supervisors to capture notes following an informal meeting. The Supervisor Notes section is located at the bottom of each Employee's goal page.

     Reporting:

  • Supervisors may access reporting to determine whether employees in their area of responsibility have completed their goals
  • Select the following link to access the report: Performance Goals Completion Report 

     Additional Information:

  • Employees may access their Performance Development Goals on SharePoint from an external computer. Employees will need to use their full email address as the username i.e. (username@twu.edu) to log in.
  • Employees and supervisors may always access the system here: Access to Goals in SharePoint
